Write each role once. Fill it with people, AI, or both.

RoleHQ turns every seat on your org chart into a written role: its mission, its responsibilities, the decisions it can make, and the tools it may use. Your staff, TappHQ AI assistants, and the AI apps your team already uses all work from the same role, and anything above a role's authority goes to a person.

Roles

One written role for every seat

A role is the shared spec your whole organization works from. Write it once, place it on a position in your org chart, and every person or assistant who fills that seat reads the same mission, the same decisions, and the same limits.

Everything a seat needs

Mission and KPIs, responsibilities, decisions with their authority and escalation, cadence, handoffs, tools, files, and expertise, all in one role.

Placed on your org chart

Put a role on one position or several. Each seat can carry its own small overrides while the role stays the single source.

Versioned changes

Every approved change becomes a new version. Assistants and outside apps work from the current approved version, and you can see who changed what.

People and AI in roles

Your team and your AI assistants share the work

A role can have a lead and assistants. Fill it with a staff member, a TappHQ AI assistant, an outside AI app, or a mix. The role decides what each one may do.

An AI assistant works inside the role

When a TappHQ AI assistant fills a role, the role's instructions lead its work and it sees exactly the role's tools, no more. The run page shows which role and version it ran as.

  • Run as a role, or with no role, from the Run dialog
  • Set a monthly credit budget per role; runs pause when it is used up
  • AI work spends your org's credits, with a top-up prompt when you run out

People get a playbook for every seat they fill

My roles shows each role a person fills, as lead or assisting, with a playbook to download as Markdown, PDF, or Word.

  • Onboarding checklists add the new hire's role items
  • Offboarding adds a handoff for every role the person leaves
  • Removing or suspending a member flags the roles left uncovered
Connect AI apps

Bring the AI apps your team already uses

Connect Claude, ChatGPT, or Grok to a role by signing in to TappHQ and picking the role. The app then works from that role's spec and its tools, and nothing else. The live connection for Copilot Studio is coming soon.

1

Add TappHQ as a connector

Paste your TappHQ address into the AI app. Role sync shows step-by-step instructions for each app.

2

Sign in and pick the role

The consent page names the app and where it will send you back, and lists only the roles you may connect.

3

The app works inside the role

It can use only the role's tools. A change the role may not decide alone goes to your approval queue.

Two ways to use a role outside TappHQ

  • Live connection: sign in from Claude, ChatGPT, or Grok. Claude and Grok also accept a role key, shown once. The live connection for Copilot Studio is coming soon.
  • Export pack: download a role as files for Claude, ChatGPT, Grok, Microsoft 365 Copilot, or plain Markdown. Building a pack uses no AI and no credits.
  • TappHQ does not write to your AI apps. Packs are a snapshot; download a new one after the role changes.
  • A pack carries no keys, emails, or user ids.
Role library

Start from a role someone already wrote

Start from 11 ready-made TappHQ roles, or community roles TappHQ has reviewed. Read the mission, responsibilities, and decisions, then add up to five to your org at once.

Share a role back, without the private parts

Before you share, TappHQ shows exactly what it will remove: names of staff, donors, volunteers and other contacts, your org's name, emails, phone numbers, and links. You confirm, the role is screened, and TappHQ reviews it before anyone else sees it.

  • Published roles are anonymous and do not show who shared them
  • Track each share as Pending review, Published, or Not published
  • Copies you add are screened and count toward your plan's roles
Role insights

See which seats are covered, and how the work is going

Role insights shows every placed role with its coverage, a KPI scorecard, and who did the work, people or AI. The same coverage badge shows on your org chart.

Coverage you can act on

Each seat is Covered, Covered by AI, Partly covered, or Uncovered. Admins get a notice when an active role has nobody covering it.

  • KPI check-ins by hand or measured automatically, with off-track notices
  • Activity over 7, 30, or 90 days with the human and AI share
  • Change audit of every version and decision
  • Download CSV or save the coverage report to the Reports Hub
Governance

AI drafts it. A person approves it.

Roles carry the rules your board expects: who can change a role, which decisions an assistant may make alone, and where everything else goes.

Role approvals

A change that reaches other people's assistants waits for someone with approval rights, shown in plain words. Nobody approves their own change.

Escalation with a clear owner

A decision above the role's authority goes to the right person. If nobody answers in time, it moves one step up the reporting chain.

Instructions are screened

Role text, shared library roles, and answers to escalations are screened for hidden instructions before they are saved, so an assistant does not act on a planted prompt.

Plans

Roles on every plan

Every plan includes roles, outside AI bots, and AI-platform syncs. Limits apply only when you add something, and AI work and outside app calls use your org's credits.

Free

  • 5 roles, 1 outside AI bot, 1 AI-platform sync

Starter

  • 25 roles, 3 outside AI bots, 3 AI-platform syncs

Pro

  • 100 roles, 10 outside AI bots, 10 AI-platform syncs

Enterprise

  • Unlimited roles, Unlimited outside AI bots, Unlimited AI-platform syncs

Move to a smaller plan and you keep everything you have; you add more once you are within the plan.

How it connects

This HQ is part of a bigger picture

Every HQ shares its data, its proactive alerts, and its agents with the rest of the platform. Here are three concrete ways this one works with the others.

Departure-driven credential handoff

NUDGE-CC-03 detects deactivated employees who still own credentials or asset_assignments and routes the reassignment directly through ComplianceHQ.

Donor contacts trigger state registration

NUDGE-DC-06 uses contacts.addressState plus stateRegistrationRequirements to warn when solicitation happens in states where the org isn't registered.

Board-meeting attention on the unified timeline

board-meeting-calendar-adapter and NUDGE-MEET-01 surface upcoming board meetings without prep in Mission Control so governance doesn't slip off the radar.
